Why I Use Personal Information

I use personal information to respond to enquiries, manage correspondence and deal with complaints or claims.

I use ARC application information to assess applications, select readers or listeners, manage ARC campaigns, deliver accepted ebook or audiobook copies and communicate about reviews, deadlines or agreed extensions.

I also use limited information where necessary to operate and protect the website, prevent misuse, maintain records and comply with legal obligations.

ARC applications are reviewed manually. I do not use automated decision-making to accept or decline applicants.

Lawful Bases

I rely mainly on legitimate interests when responding to enquiries, assessing ARC applications, selecting participants and managing ARC campaigns.

These activities allow me to communicate with people who contact me, allocate limited review copies appropriately and avoid offering a book to somebody whose reading interests suggest that it is unlikely to suit them. I use only the information reasonably needed for those purposes and do not use it for unrelated marketing.

I may rely on legal obligation where information must be used or retained to comply with the law.

Where I specifically ask whether someone would like to be contacted about a later part or volume, I will only retain the relevant contact information for that purpose when they have agreed.

Sharing Information Outside the UK

Some of the service providers I use operate in, or may process information in, countries outside the UK, including the United States.

Google states that it relies on applicable UK adequacy arrangements, including the UK Extension to the EU–US Data Privacy Framework, and Standard Contractual Clauses where required.

Bluehost / Newfold Digital states that overseas transfers are protected through applicable adequacy arrangements or contractual safeguards, including Standard Contractual Clauses and equivalent UK transfer terms.

BookFunnel may process information outside the UK when providing book or audiobook delivery and technical-support services. Its own privacy and contractual terms apply to that processing.

Where information is processed outside the UK, I limit the information shared to what is necessary for the relevant service and rely on the transfer arrangements and safeguards provided under the service provider’s applicable terms.

How Long I Keep Information

ARC application information will normally be deleted within three months after the relevant campaign ends. This allows time for final reviews, agreed extensions and any necessary follow-up contact.

If an ARC participant agrees to be contacted about the next required part or volume, the contact details needed for that purpose may be retained until they withdraw their interest or the information is no longer needed.

Enquiries and correspondence will be retained only for as long as reasonably necessary to respond, maintain an appropriate record or deal with a complaint or claim.

Some information may be retained for longer where this is necessary to comply with a legal obligation, resolve a dispute, protect intellectual property rights or keep a limited record of serious ARC misuse.

Your Data-Protection Rights

Depending on the circumstances and the lawful basis being used, you may have the right to ask for a copy of your personal information, correct inaccurate or incomplete information, request deletion, restrict how information is used or object to its use.

Where consent is being relied upon, you may withdraw that consent at any time.

You may also ask for information about where your personal information came from, who it has been shared with and how long it will be retained.

Some rights are subject to legal exemptions and may not apply in every situation. I will respond to a valid request without undue delay and normally within one month.
